This workflow uses Gemini inside Google Docs to turn rough meeting notes into an actionable team memo — a realistic Workspace pattern many paid users repeat weekly.

Docs memo from raw notes

1. Capture notes in Docs. Paste bullet fragments from a meeting or voice transcript. Do not worry about structure yet.
2. Open Gemini in the sidebar. In Docs, launch the Gemini panel (availability depends on Workspace edition and admin settings).
3. Prompt with output shape. Ask: "Rewrite as a one-page memo: summary, decisions, owners, due dates, and open questions. Keep quotes under 15 words."
4. Ground with Drive context. Reference a related strategy doc or prior memo so Gemini aligns terminology with existing team language.
5. Iterate in place. Select paragraphs and ask for tighter tone or a executive summary at the top. Insert the final version directly into the Doc.

If sidebar access is disabled by IT, the same flow works at gemini.google.com with manual copy-paste — less seamless but the model behavior is similar.

Gemini's free tier provides baseline chat with usage caps that fluctuate by model and demand. Free users may see reduced access to the most capable models and features like Deep Research or extended video upload.

Google AI Pro (often near $20/month, sometimes bundled with Google One storage) typically expands model access, raises limits, and unlocks research-oriented features. Ultra tiers push further for power users. Workspace Business/Enterprise AI add-ons price per seat and include admin controls — essential for organizations needing centralized billing and data policies.

Gemini API pricing through Google AI Studio and Vertex is metered separately from consumer subscriptions. Flash-class models are cost-efficient for high volume; Pro/Ultra API tiers cost more per token. A Google One AI bundle does not replace cloud billing. Confirm current SKUs and quotas on Google's official pricing pages before production estimates.

ChatGPT is the better fit for Custom GPTs, broad developer mindshare, and mixed-vendor stacks. Teams without Google Workspace lock-in often find ChatGPT's plugin and integration story more flexible.

Claude wins on single-thread document fidelity and Artifacts for long drafts. If your work is "upload three PDFs and reason for an hour," Claude's context handling frequently feels less fragmented than browser chat alone.

Perplexity remains the specialist when inline citations and source transparency are non-negotiable. Gemini grounds in Search, but Perplexity's UI and citation layout are purpose-built for verification-heavy research rather than general assistant tasks.
